Getting Started with Sky Duty

Set up your aircraft, schedule your first flight, track time, log hours, and manage expenses. This guide walks through the entire app in under three minutes.

Set Up Your Aircraft

Before you can schedule a flight, you need an aircraft in the system. Sky Duty is a fleet management tool built for Part 91 operators, charter companies, GA pilots, and flight schools. Adding your first aircraft takes less than a minute.

Add Your Tail Number

Open the More tab in the bottom navigation, select Aircraft, and tap the plus button. Enter your tail number and tap the search icon. Sky Duty queries the FAA registry and pulls your aircraft's make, model, and year automatically. The database includes over 308,000 FAA-registered aircraft with weekly updates, so your data is always current. You can also look up any N-number using the tail number lookup tool on the web.

This automatic lookup is one of the features that sets Sky Duty apart as a pilot logbook app. Instead of manually typing aircraft details, the app handles it for you. If the aircraft is registered outside the US, you can enter the details manually.

Configure Hobbs Time and Calendar Color

After the FAA data populates, enter your current Hobbs time. This is the starting point for all future flight time calculations. You can also assign a custom calendar color to the aircraft. This color appears on the schedule view, making it easy to distinguish between aircraft at a glance when you have multiple planes in your fleet.

Tap Add, and your aircraft is ready. The entire process takes about 30 seconds.

Schedule Your First Flight

With an aircraft in the system, you can start building your schedule. Sky Duty functions as flight scheduling software that replaces whiteboards and shared spreadsheets with a visual timeline accessible from any device.

Create a Trip

Head to the Schedule tab and tap the plus button. The app auto-generates a trip number for you. Select the aircraft you just added and enter your route. For example, Phoenix to Denver. You can type airport identifiers or city names. The trip form captures everything your dispatch needs: aircraft, route, dates, and crew assignment.

Add Legs and Assign Crew

Multi-leg trips are fully supported. Add as many legs as your route requires. Select the pilot in command (PIC) for each leg, adjust the passenger count, and tap Create. The trip immediately appears on the Gantt-style schedule timeline, color-coded to the aircraft you assigned. Your crew can see it on their devices as soon as it syncs.

Track Flight Time

On flight day, your scheduled trips appear on the schedule screen ready to go. Sky Duty handles time tracking so your flight hours feed directly into your digital pilot logbook without manual entry.

Start and Stop the Flight Timer

Tap Start Flight from your schedule as you take off. The app begins tracking your time immediately. This works even without cell service. Sky Duty is offline-first, so you can start and stop flights from anywhere. Your data syncs automatically when connectivity returns.

Log Post-Flight Data

Once you have touched down safely, tap Mark as Landed. This opens the post-flight entry screen. Enter your ending Hobbs time, and Sky Duty calculates your total flight time automatically. The entry saves directly to your digital logbook. No duplicate data entry, no spreadsheets. Your hours are tracked the moment you land.

Report Maintenance Issues

Every flight department needs a reliable way to communicate mechanical issues. Sky Duty includes built-in aircraft maintenance tracking so squawks go straight from the cockpit to your maintenance team.

File a Squawk from the Post-Flight Screen

Notice an issue during the flight? You can report a squawk right from the post-flight entry. Add a description, snap a photo of the discrepancy, and submit. The squawk routes to your maintenance team immediately. No phone calls, no paper forms, no waiting until you get back to the office. The entire squawk-to-resolution flow is documented in the aircraft's maintenance history.

Review Your Logbook

Every flight you complete saves directly to your logbook after the post-flight save. Your digital pilot logbook is always up to date with no manual copying. You can review past flights, check total hours, and verify your currency at any time.

Need a quick weather update before your next flight? Tap the weather icon to see real-time forecasts and visibility for your destination airport. The logbook also supports PDF and CSV export, so you can generate reports for checkrides, insurance, or compliance reviews.

Track Expenses

Fuel receipts, landing fees, and trip costs add up fast. Sky Duty ties expense tracking directly to your flights so nothing gets lost between the ramp and the accounting department.

Attach Receipts to Trips

Head to the Expenses tab, tap the plus button, and snap a picture of your fuel receipt. The expense is linked directly to the trip, creating a clear paper trail from flight to cost. No more loose receipts in your flight bag or forgotten fuel stops.

Export Reports

When you are ready to report, export your expenses as a PDF with charts or as a CSV for spreadsheet analysis. Both formats can be emailed directly from the app to your accounting team or flight department manager. Sky Duty is a flight management app that ties expenses back to every trip, giving you a complete operational picture.
